Sole traders & consultants

You are the sales team, the admin and the accountant. That should not mean you are also the data entry.

Serious CRM software is built for a company with a sales department. You have one person who already does the selling — and the per-seat price says so before you have even logged in.

Thirty days free, no card. It takes an afternoon.

The FoundrySuite lead list: every enquiry with its source, its owner and the next action due.

The thing that will decide it

Not the feature list. Whether it will still be running in six months, or whether you will have quietly gone back to the spreadsheet because maintaining it took longer than the job it was meant to save.

Two things decide that. One is that it has to be one system — pipeline, contacts, invoices, expenses and the ledger — instead of four tools that each need a login. The other is that the boring parts have to happen without you asking, because they will not happen at all if they depend on you remembering.

What that looks like here

  • Next actions that arrive by themselves. FoundrySuite tells you what is due and overdue. You do not maintain a follow-up list; you read one.
  • Research you would have skipped. Describe who you sell to and it finds matching companies, reads their sites, and pulls out verifiable facts with the source URL attached.
  • Drafts instead of blank pages. It reads the research and drafts the opening message. You edit and send it yourself.
  • Invoices and receipts that become bookkeeping. Drop in a PDF, and the fields on it get read and filed. The ledger is double-entry and balances to the cent.
  • Reporting without a bookkeeper translating it. Balance sheet, income statement and cash flow, derived from the same ledger, always agreeing.

One screen, open

This is the whole argument above, drawn: what is in the pipeline, what needs a decision, what the books say, and a briefing written from the same records.

The FoundrySuite dashboard: open pipeline of $257,000, pipeline value by stage, recent leads, and a written daily briefing.
Open it and it tells you where you are. Seven deals, $257,000, the ones with a next action due, and a briefing. Every figure on it is a sum over rows you entered — nothing here was calculated by a salesperson's optimism.
The leads screen listing eight leads with their status, qualification state and score.
Leads, scored and repeatable. Scoring is your criteria against real facts, so the same lead gets the same number every time you look at it.
The accounting overview showing cash, receivables and payables as tiles, with aged receivables and recent journal entries below.
The same window does the books. Not a second tool, not an export at the end of the month — the same records, summed.

The objections, answered

The four that actually come up.

I am not technical.

Double-click the installer, then double-click the launcher. It creates a private environment inside its own folder and does not touch your system. There is a command line if you want one and nothing requires it.

My laptop is not fast enough for AI.

8 GB of RAM is the minimum and 16 GB is comfortable; no graphics card is needed. It is a small model doing a small job — summarising a lead, drafting a paragraph, reading a document — which is well within what a modern laptop manages. Tell us what you have and we will tell you honestly what to expect.

What happens to my data if I stop using it?

It stays on your disk in a format any SQLite tool can read. No subscription ending, no export queue, no "your data is retained for 90 days".

Do I need to be online?

Only for researching companies online, which you ask for by name. After that — pipeline, ledger, documents, AI — everything works with the network unplugged.

Worth knowing before you buy

This is a full accounting system, which is more than most sole traders start with. If you like keeping receipts in a drawer, you are under no obligation to use the bookkeeping half.

If you do not want it, nothing is lost — it is one system and you use the parts you want.

If you do want it, the accounting is real: immutable postings, closed periods, receivables and payables as actual subledgers. That matters when your accountant asks questions, and it is why the AI cannot post to it without passing the same checks you would.

The honest summary

If your problem is that you cannot afford the serious tools, this removes the price objection. If your problem is that you do not have time to set anything up, this removes that one too — it runs from a folder.

If your problem is that a large competitor keeps out-running you on tooling, that is partly this and partly not. The tooling gap is real and this closes most of it. The rest is judgement, which no software closes.
